Inquiry of Records
The Records Division is comprised of Senior Office Administrator Tracy Thompson, who is responsible for the storage of all police reports, accident reports, and special files that involve some action regarding police activity.
For additional convenience, accident reports are available at www.Crashdocs.org (link opens in new tab/window) approximately 7-10 business days following the accident. Once the report is available, you will need the case #, the date of the accident and the name of the owner of the vehicle to access the report.
Individuals may request police reports between the hours of 9:30 AM and 3:30 PM, Monday through Friday, excluding holidays.
Reports can be requested in person by filing a “Request for Report” at the Penns Grove Police Department or via email at . If out of state and needing to request a report, please mail any/all request in writing with a self addressed stamped envelope to the address listed below.
PLEASE BE AWARE: An Officer stating that a report will be completed the next day does not ensure that the report will be available for pick up, BEFORE coming to Penns Grove Police Department, please contact the Records Division to check the status of the reports availability. Please bear in mind, Officers do their upmost to ensure reports are completed in a timely fashion, however, they can not predict the future of how many citizens will require their assistance throughout the day/night. Please be patient.
During holidays and/or after hours of operation, please leave a detailed message for Senior Office Administrator Tracy Thompson at (856) 299-0056 Ext 122. To ensure a prompt response, when leaving a message it is helpful to include as much detail as possible, such as; the type of report being requested, name of person requesting report(s), phone number where you can be reached. Please allow five (5) to (7) business days waiting period between the time of the request and receiving the report. Reports are available for pickup at the Penns Grove Police Department. All requests for discovery by insurance companies and attorneys representing clients must be made in writing, specifying what is being requested of the department for compliance with the request and must be made on official letterhead from the firm or individual requesting such documents. Defendant request for discovery must also be in writing, with approval in writing from the judge and made in the same fashion as above. All fees regarding discovery requests are governed by ordinance and are on a sliding scale based on total documents requested, media reproduction cost, time required for request, etc. Fees for specific requests are available by contacting the Records Division at 856-299-0056 Ext 122.
A request for documents under the Open Public Records Act (OPRA) can be made in person or via email through the Penns Grove Township Clerk’s Office. OPRA prohibits the release of identifying information under certain circumstances. The Police Department will withhold suspect or other information considered sensitive so as not to jeopardize a criminal investigation. Any request will be reviewed by the Division Supervisor for compliance with the act and processed in a timely fashion according to the law.
